The Challenge

Our aim was to reduce costs in preparing the content of the meetings, to achieve computerization of processes and also that meetings would run more quickly and effectively.

The Challenge was to develop new extensions of Paperless Meeting Solution, such as the availability of agendas and supporting documents of each meeting, providing its downloading and offline access via mobile devices.

Assumptions on developments to apply in Paperless Meeting Solution Mobile:

  • Develop a layer of services so that the mobile application developed for iPad enables you to view the contents presented at meetings;
  • Allow these contents to be available on the mobile device for offline use;
  • Ensuring the security of content on the mobile device;
  • Ensuring security in the exchange of information between the service layer and the application layer;
  • Sending notifications in the event of further meetings and/or updates.
  • Accessibilities by air with an airport inside the city boundaries which enables us to be at any capital or major city in Europe in a few hours
  • Highly recognized and accredited universities
  • Great time-to-market response

The Solution

Mind Source applies the best project management practices that are deemed to be relevant for the success of the project

The implemented solution was divided in two parts:

  • Service Layers (Windows Communication Foundation (WCF), C#, .NET 4, REST, JSON)
  • Apple Push Notifications (Aplicação iPad, iOS (5+), xCode, Objective-C, Cocoa Touch)

Our approach was the following:

  • Development of a service layer that provides the necessary information for the application to be developed;
  • Development of the application for iPad;
  • Creating the Push Notifications System that manages the sending of notifications in the event of further meetings and/or required updates;
  • Elaboration of the supporting documentation;
  • Technical Advice and development of new approaches to implement in the future.
  • Planning all work related to the service in the form of a WBS (Work Breakdown Structure) and a schedule of activities properly budgeted;
  • Monitoring, control and reporting to the Client with the follow up of service provided based on the method of Earned Value Management (EVM);
  • Identifying and addressing risks of the Project of the service provided.
Results

"With Paperless Meetings Mobile we have reached a new dimension"

The Paperless Meeting Solution Mobile now enables users to:

  • Easy and quick access to the most current content due to the notification system;
  • Availability of documents on the mobile platform;
  • Obtaining efficiency gains in meetings;
  • Release of information in offline mode to all involved.

Nowadays any Secretary participates actively in the process in a much more collaborative way. Administrators have access to any information through the various agendas and global search, laptop or iPad, as it is most convenient.

The meetings now always start on time. And even if you miss something or need some correction, it all can be done at the meeting, and administrators are warned that there is an update.

Decisions are entered into the system by the Company Secretary. After the meeting are appended documents that require approval by signature of an agreement with the same decisions.

Now you can join all meetings into one, for example in a group meeting where there are 23 managers with 3 Boards taking place at the same time in the same room.

After the implementation, the bank was able to easily access and search information in a centralized repository
